with Stripe billing — one portal replacing the manual workflows behind
an active alumni community.
The Harvard Club of Silicon Valley connects Harvard alumni across the
Bay Area through meetups, speaker events, and a tiered membership
programme. Like most alumni organisations, it's run by a small group
of volunteers — so every hour spent on admin is an hour taken from the
community itself.
The Problem
Events and memberships held together by hand
Event creation, registration, and attendee tracking lived across
excel, emails to members, informal payment collection and organisers
reconciling everything manually.
Membership tiers came with different privileges and pricing — but
enforcing them, and chasing renewals, was manual work.
Payments for events and memberships weren't unified, making
reconciliation and reporting a recurring chore.
The club's public content site and the member experience were
disconnected systems.
The Solution
One portal for members, organisers, and billing

Member experience. Profiles, event discovery, and
self-serve registration — members browse upcoming meetups and
register in a couple of clicks.
Event management for organisers. Volunteers create
events, manage capacity, and track attendees from the portal instead
of spreadsheets.
Membership tiers on Stripe. Tier definitions,
member-only privileges, and recurring billing handled through Stripe
— joins and renewals are self-serve.
WordPress integration. The club's content and
marketing presence stays on WordPress, connected to the portal so
the public site and member experience feel like one property.
